Abstract
PT. ABC is a coal mining company where maintenance activities play a vital role in ensuring the reliability and operational efficiency of heavy equipment. One critical component of maintenance management is the documentation and monitoring of oil usage. This study aims to analyze the influence of oil recording practices on the effectiveness and efficiency of maintenance activities at PT. ABC. Observations revealed a significant variance between the quantity of oil ordered and the recorded consumption, exceeding the company’s allowable variance threshold of 10%. To address this issue, the study employs the Business Process Improvement (BPI) methodology to identify root causes and propose process enhancements. A quantitative approach was applied through surveys, interviews, and analysis of historical maintenance records. The relationship between the quality of recordkeeping, maintenance frequency, and equipment failure rates was also examined. Findings from the Five Why analysis indicate that accurate and structured documentation has a significant positive effect on maintenance time efficiency, reduction of unexpected equipment failures, and control of operational costs. The implementation of a systematic and digitalized recording system enables more precise oil monitoring, reduces waste, and prevents damage caused by improper lubrication. This study recommends the adoption of an application-based digital oil recording system to improve data accuracy and facilitate effective maintenance management. The results are expected to contribute to the enhancement of maintenance process efficiency in mining companies, thereby supporting the long-term sustainability of mining operations.
