Abstract

Kili Kili Adventure is a tour and travel service company whose business processes are still carried out manually or semimanually using spreadsheets as the main recording medium. This condition causes the workflow to be formally undocumented, interdepartmental coordination to rely on manual communication, and the preparation of custom packages to take a relatively long time because product and vendor data are still stored in several separate files. This study aims to analyze the current business process or AS-IS and design a proposed business process or TO-BE using Business Process Model and Notation (BPMN). The method used is descriptive qualitative, supported by descriptive quantitative analysis through process time simulation. Data were collected through observation, interviews, and documentation. The results show that the AS-IS model successfully maps the tour and travel management business process, starting from promotion and Inquiry, customer needs management, quotation preparation, invoice and payment, to tour preparation and implementation. Bottlenecks were found in information handover, customer data completeness, product and vendor data searching, quotation revision, invoice processing, and operational data handover. The activity analysis shows that there are 39 main activities, consisting of 11 Value Added (VA) activities, 19 Business Value Added (BVA) activities, and 9 Non-Value Added (NVA) activities. The TO-BE design improves the workflow through auto-reply, strengthening the roles of Sales and Tour Consultant, more centralized product and vendor data management, standardized invoice request procedures, and a Deal data handover checklist for Operations. The simulation results show an overall efficiency of 3.88%, an efficiency of 39.82% in the administrative and coordination process before tour implementation, and an efficiency of 29.73% in the three core divisions. Therefore, the TO-BE design can serve as a basis for Business Process Improvement recommendations to make the process more structured, documented, and efficient.
